WHY CURRENT ABSENCE MANAGEMENT FAILS

 

PROBLEM #1: NO CLEAR POLICY

 

When there's no policy, people guess:

- How many sick days are allowed? Nobody knows.

- What's the process? Send an email? Call?

- When do you need a doctor's note? Day 1? Day 3?

- What if someone is always sick on Fridays? Do we care?

Absence happens but goes untracked:

THE ABSENCE MANAGEMENT FRAMEWORK

 

COMPONENT #1: CLEAR ABSENCE POLICY

 

Define:

- How many sick days per year (statutory minimum varies, typically 5-10)

- What constitutes a "sick day" vs. "working from home while ill"

- Notification process (how much notice, who to tell)

- Medical certification (when needed - typically day 4+)

- Return-to-work process (conversation with manager)

- Consequences for abuse (progressive discipline)

 

Document and communicate to all staff.

 

COMPONENT #2: TRACKING SYSTEM

 

Use simple system (spreadsheet, HR software, or payroll tracking):

- Employee name

- Date of absence

- Reason

- Duration

- Medical certificate provided? (Yes/No)

 

Track by month and year. Identify patterns.

 

COMPONENT #3: RETURN-TO-WORK CONVERSATIONS

 

When employee returns from absence:

- Manager has brief conversation (15 minutes)

- Confirm they're well enough to work

- If pattern: "I've noticed you've had X absences. Is everything okay? Do you need support?"

- Offer accommodations if appropriate (flexible hours, remote work, etc.)

- Document conversation

 

COMPONENT #4: OCCUPATIONAL HEALTH SUPPORT

 

For patterns or identified health issues:

- Refer to occupational health (free service through many insurers)

- They assess situation, make recommendations

- Examples: Mental health support, ergonomic assessment, modified duties

- Follow their recommendations

 

COMPONENT #5: PROGRESSIVE DISCIPLINE (IF ABUSIVE)

 

If abuse is identified (taking Fridays off, never getting cert, etc.):

- Informal chat (first offense)

- Formal warning (second offense, pattern clear)

- Final warning (third offense)

- Termination (if continues)

 

But only if it IS actually abuse. Support legitimate health needs.
